Executive Assistant (Healthcare/Clinical Research)

Must Haves: Bachelor degree, 5+ years of experience as an executive experience, 1+ year in healthcare or clinical research preferred

Hours: 40 hours per week, Monday-Friday, 8am-5pm. Opportunity for hybrid work but will have to be ready to run out and travel if need be.

Contract Duration: Permanent position

Pay: $100,000-104,000 + bonus potential

RESPONSIBILITIES

• Manage the physician executive’s professional and personal calendar, including meetings, appointments, and key commitments.
• Arrange travel itineraries, including transportation and accommodation, for both work and personal trips.
• Handle correspondence, phone calls, and emails, prioritizing messages and responding on behalf of the doctor when appropriate.
• Coordinate personal logistics and scheduling needs for leadership as needed.
• Assist in planning personal events, such as family gatherings, celebrations, and social functions.
• Help organize community outreach or philanthropic activities aligned with the doctor’s interests.
• Support in managing household tasks, including budgeting, scheduling maintenance, and organizing family logistics.
• Liaise with vendors and service providers to ensure smooth operations at home.
• Maintain the highest level of confidentiality regarding personal and professional matters.
• Exercise discretion in all interactions and decision-making processes.

QUALIFICATIONS

• Bachelor’s degree or adequate experience as an administrative assistant.
• Excellent oral and written communication skills.
• Demonstrated experience in process improvement.
• Flexible and able to multi-task and prioritize competing demands.
• Ability to think independently and influence when appropriate.

PREFERENCES

• 1-3 years’ experience within the field of clinical or biological research preferred.
• Detail oriented, medical experience, someone with clinical trials setting would be great but not required.
• Someone who can help and step in whenever needed.
