Duration: 12-Month Contract

Position Overview

We are seeking a Temporary Full-Time Bilingual Office Support Specialist to provide front desk coverage and administrative support in a fast-paced office environment. The ideal candidate will be fluent in both Spanish and English and possess strong communication, customer service, and organizational skills.

This role serves as a primary point of contact for visitors, callers, and internal staff while supporting daily office operations. The position reports directly to the Office Manager and may provide backup support for front desk and office functions as needed.

Key Responsibilities

Front Desk & Customer Support

  • Greet visitors and answer incoming calls professionally in English and Spanish
  • Direct inquiries to the appropriate departments or staff members
  • Ensure visitors are properly checked in and staff are notified promptly
  • Provide excellent customer service and maintain a welcoming office environment

Administrative Support

  • Distribute incoming and outgoing mail
  • Maintain office supply inventory and coordinate restocking
  • Schedule meetings, trainings, and conference room usage
  • Coordinate meeting room setup and breakdown
  • Maintain organized records and perform general clerical duties
  • Assist with special projects and additional office support tasks as assigned

Required Qualifications

  • Fluency in spoken and written English and Spanish
  • Strong customer service and communication skills
  • Excellent organizational skills and attention to detail
  • Ability to handle confidential information professionally
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Comfortable learning internal systems and office technology

  • Previous administrative, receptionist, or office support experience
  • Experience working in government, education, or public sector environments
